Duty rostering for ZephyrOne clubs

Every duty covered, shared out fairly.

Zephyr Duties builds your club’s season roster. Members pick the duties that suit them, the remaining gaps are shared out fairly, and swaps and reminders happen by email — so your duty organiser can stop chasing.

  • Included free for every club on ZephyrOne
  • Members book their own duties while booking is open
  • Gaps filled fairly, so everyone does their share
  • Swaps and reminders handled for you by email

No passwords: members sign in with a link sent to their email, and every email includes a personal quick link.

Fair by design

Set how many duties each member should do — overall, by membership type or by age. Members choose first; whatever is left is shared out to the people who haven’t yet done their share, with qualifications and same-day clashes checked along the way.

What Zephyr Duties does for your club

From setting up duty types to the morning of the event, the whole duty year in one place.

Your duty types

Set up the duties your club runs — race officer, safety boat, galley, bar — each with its own guidance notes.

  • Mark duties that need a qualification
  • Pair duties for a helm and crew who book together

Season rosters

Create a roster for the season, add your events and say how many people each duty needs.

  • Pre-assign key duties before booking opens
  • Cancel an event and everyone on it is told

Members book their own

While booking is open, members pick the duties that suit them, first come, first served. Booking closes automatically at the time you set.

Gaps filled fairly

When booking closes, remaining duties go to the members who are still short of their minimum — never to someone without the right qualification or already busy that day.

  • Minimums overall, by membership type or by age
  • See at a glance who is below their minimum

Publish & notify

Publish the roster and every member is emailed their duties. After that, members can still volunteer for any gaps.

Easy swaps

Can’t make it? Ask several members at once. The first to accept takes the duty, and everyone involved is kept informed.

  • Accept or decline straight from the email
  • Requests expire after 7 days or at the event

Reminders & confirmations

Members get a reminder before their duty and can confirm they’ll be there in one click.

  • Duty organiser gets a list for members without email
  • Pause reminders when you need to

Print & share

Print the roster for the clubhouse noticeboard, share a public read-only roster, or add duties to members’ phone calendars.

  • Embed the roster calendar on your club website

Reports

See duties per member, who is below their minimum and which events still have gaps.

Members kept in step

Bring members across from ZephyrOne or a spreadsheet, with categories and dates of birth for the right minimums. Members can update their own details.

Works on any phone

Members can book, swap and confirm duties from their phone, with nothing to install.

Email the whole club

Send messages to members about the roster, and find contact details in a simple member directory.

A closer look

How a season comes together

Book, then fill fairly

Open booking and let members choose the dates and duties that suit them. When booking closes, Zephyr Duties shares the remaining duties out to the members who still owe some, then emails everyone their final roster.

  • Minimum duties per member, set your way
  • Qualifications and same-day clashes always checked
  • Members can still volunteer for gaps after publishing

Swaps without the phone calls

When a member can’t make their duty, they ask a few others at once. The first to accept takes it, the roster updates itself, and everyone involved gets an email.

  • Accept or decline straight from the email
  • Other members are told when it’s been taken
  • Unanswered requests expire automatically

Everyone can see the roster

Share a read-only roster link with the whole club, print it for the noticeboard, or embed it on your website. On the day, members tick to confirm they’re there.

  • Public roster with no sign-in needed
  • Print-friendly layout
  • Add duties to phone calendars

Questions

Frequently asked questions

Do we need to be on ZephyrOne?
Yes. Zephyr Duties is offered to clubs that use ZephyrOne, and it’s included for them. It isn’t available on its own at the moment.
What does it cost?
Nothing. Zephyr Duties is included with ZephyrOne, which has no subscription for your club or your members. ZephyrOne is funded by a small service fee on payments taken online through it by card or PayPal, which your club can absorb or pass on. Duty rosters themselves carry no fee.
ZephyrOne already has duty rotas — why Zephyr Duties?
ZephyrOne lets members sign up for duties event by event. Zephyr Duties is for clubs that plan a whole season’s roster at once, with minimum duties per member, fair filling of gaps, swaps and reminders.
How does the fair filling work?
Members book first. When booking closes, each remaining duty goes to a member who is still below their minimum, who has any qualification the duty needs, and who isn’t already on duty that day.
What if a member doesn’t have email?
They can still be on the roster. The duty organiser gets a regular list of their duties so they can be told another way.
Do members need to remember a password?
No. They sign in with a link sent to their email, and every email from Zephyr Duties includes a personal quick link.
Can people outside the club see the roster?
Only if you share the public roster link. It shows duties and names, never contact details.
